Transactions
OVERVIEW
• | create invoices and return invoices |
• | create sales orders and other pending transactions |
• | handle pickups and delivery through the Fulfillment Center |
• | lookup the selling price of an item, the status of a gift certificate, or run an age verification |
• | employee clock in an out; logout from system |
• | review old invoices; review pending service appointments |
• | open cash drawer; balance the cash drawer at the end of the day |
• | ready access to Centers: customers, inventory, vendors, and reports |
• | Quick Access Toolbar - activate common functions (see Master Menus) |

MENU OPTIONS
Customer Sale |
Creates an invoice for a named customer |

Quick Sale |
Creates an invoice for a walk-in customer; name not known |

Return |
Creates an invoice which automatically prompts for an original invoice number. Includes search options for finding an invoice. Allows for return of an inventory item, even if original invoice is not found. |

AR Payments |
Accept payments towards customer AR Charges |

Inquiry |
Provides access to the following 3 functions. |

Price Check |
Scan a barcode to learn the selling price, stock status. Include the customer name to view special pricing. |
||
Gift Certificate Check |
Scan or enter a gift certificate number to learn the value of the card. |
||
Age Verification |
Scan driver’s licence or enter birthdate to confirm that customer is of legal age to purchase designated products. |
||
Retrieve Suspended |
Find an invoice which was temporarily suspended by your own workstation or another workstation and resume processing the invoice. (see Suspended Transactions) |

(Pending Transactions)
|
A pending transaction is very similar to a customer invoice, but it is being held pending further action, such as acceptance of charges, work still being completed, backorders received. These transactions are classified as Job Cost, Sales Order, Service Order, Web Order, Quote, Recurring, and Contract Pricing. |

Create |
To create a pending transaction 1) select the desired type of transaction |

Job Cost
|
For tracking projects and billing.
|
||
Sales Order |
Used for special orders of inventory. Payment is received as a deposit in full or in part. Once the items are in stock and can be delivered to the customer, the order is converted to an invoice. |
||
Web Order |
Lists Internet Orders generated by POSitive Commerce. Payment is made in full by pre-approved credit cards, but cards are not charged until the web order is converted to an invoice. |
||
Service Order
|
Products and services are added to a transaction which require technical assistance. Tracks products being serviced and employee notes of work done and time spent. |
||
Quote
|
Lists products being considered for purchase. The quote employs special tools for “packaging,” creating variations of the quote, and follow up. |
||
Recurrings |
Recurring Invoice - Used for scheduled billing for services and products sold on a repeat basis. Processed in batches, payment is made by credit cards on file, by placing on store account, or assigning to a finance company. |

Contract Pricing
|
Contract Pricing - a special type of customer invoice used to list items with special pricing for a customer. Whenever an order or invoice for the customer is created, the price on the Contract will be selected. A Contract has an expiration date, after which normal prices will be in effect. Deposits are never applied to a Contract. A Contract is never converted to an invoice. |

Pending |
To View pending transactions in process, select the desired type of transaction (see "...In Process") |

Calendar |
Shows the number of pending transactions per day, based upon Date Placed or Date Due. |

Invoice History |
A listing of all invoices processed. Invoices can be reprinted, cloned, researched, and voided. (Invoice History) |

Open Register |
Prompts for sales ID and reason for opening the cash drawer to add or remove monies. |
||
Balance Register |
Provides a cash drawer count down and procedure for reporting all monies collected. |
||
Clock In/Out |
Employee time clock. |
||
Logout |
Employee sign out and sign in. |
||
ESSENTIAL CENTERS |
Can also be accessed using the Quick Launch icons in the upper left corner. |

Inventory All Inventory |
Opens the Inventory Center or a view of specific types of inventory. |
||
Customers |
Opens the Customer Center, a listing of all customers and related information about each. |
||
Vendors |
Opens the Vendor Center, a listing of all vendors and related information about each. |
||
Reports |
Opens the Report Center with access to hundred of reports and a built-in report designer/writer. |

POSitive Mail Alert |
Click on envelope to open mail. If blinking dot on envelope then the logged in person has a pending internal mail message. |

Employee name, Station number, and the Division number and name in use. New Login can switch employee as well as station and division.

If this is incorrect, be sure to change operating system date and time, otherwise invoices, reports and time clocks will be wrong. |
