POSitive allows any inventory item to have multiple part numbers.

Some possible applications for alternate SKUs are

a catalog number
a web page product number
a manufacturer's number,
a superseded part number,
a bulk package SKU
a classification to show items which interconnect with each other but not with other items
vendor SKU

NOTE: One could be tempted to enter the vendor's SKU of the item, but this is not necessary because
     1) the AutoQuote SKU designates the vendor
and 2) another POSitive feature will search for vendor SKUs when creating sales orders or invoices.  See System Setup: Inventory At Invoicing: "Look For Vendor SKU If Item SKU Not Found."

Click here to watch our How to Change the Primary SKU video.

Sample Setup

In this example, the product is a True 2-Door Refrigerator. The SKU of T-49 is commonly known throughout the industry.

T-49@1234 is the Primary SKU.  It is directly tied to both AutoQuotes and the Vendor providing the product
T-49 is the SKU which will be used on the company web site so that potential customers can readily find the product.
54321 is the SKU which we print in our company catalog so that it is not associated with competitor publications.
R231234 is our Retail store SKU.  It will print on customer invoices and sales orders.
98765432198765 is the product UPC number

CAUTION: Do not delete an inventory item just because it "looks" like a duplicate.

Please note that when doing an inventory lookup and sorting by SKU, an item will be listed once for each SKU listed in SKU Manager. Do not think you have mistakenly added a product multiple times and attempt to delete one of them, because deleting one could delete them all.  Instead, open SKU Manager and review the SKUs.  Delete just the unwanted alternate SKU.

If you want to make certain that two inventory items really are the same or different, choose Stock Manager view.  At the far right is an Internal ID number.  Compare the numbers to determine if the items are the same item or different items.

How It Works

BASIC OPERATION (without using "alternate info")

Each item has a Primary SKU which can be scanned or typed into a sales order or invoice with a price based upon the Customer's Price Level.

If one of these alternate SKUs is scanned, POSitive will find the item and enter the product on the invoice listing the primary SKU and Customer Price Level.

Catalog Sales - 1) Enter the SKU number printed in the catalog.  2) if the SKUs are the same in the catalog, consider entering the catalog page number where this item is documented as an alternate SKU.  The customer merely tells you what page it is on and then you can select the desired item from among all the items on the page.

.

Parts Center - Enter the old part number or cross-reference part number as an alternate SKU.  No matter which part number the customer gives you, you can find the product which will fit.

"DIVISION" OPERATION (using "alternate info")

You can sell an inventory item on the Web, through a Catalog Store, as a Retail Store, or as a Wholesale Store and use entirely different SKUs, Descriptions, and selling prices by activating "Use Alternate Info".

See instructions for setting up Divisions.

How To Create An Alternate SKU

From the Inventory List highlight the inventory item.
Choose SKU MANAGER.
Choose the ADD button to create a new SKU.
Then type in or scan the new SKU.
(Generally) Ignore the options on the right unless you plan to use Alternate Info.

How to "Use Alternate Info"

Activate the option "Use Alternate Info"
Display SKU - leave this blank to use the SKU listed at left - or you could enter a different SKU
Display Description - enter an alternate description
Remove from Stock - usually 1  (If you enter a number greater than 1, be sure to create a "Price Break" to assign the correct pricing.)
Unit of Measure - leave this blank
Price Level - use the pull down button to select the desired selling price.

NOTE: Before you can use this option you must

  1) go to Maintenance: System Setup: Inventory: Pricing tab and give names to your price levels.

  2) edit your inventory item and set your selling prices for each price level
