Cashier Unable To Locate Item

Being unable to find an inventory item to add to an invoice can be a stressful, if not a costly situation.  A few features of POSitive can be activated to assist (or prevent) cashiers in adding items.

Helps For Finding Item

Manual Entry of Barcode

If the barcode is not reading properly, manually type the barcode into the SKU field and press Enter

Use Locate Item Screen

If not found the Locate Item screen will appear or can be activated from the invoice screen.  (see Locate Item)

change the sort order to Description.  Type a portion of the description and press CTRL-Enter.  All inventory with matching descriptions will be displayed.
use the Binocular Icon to Find the item based upon other information such as Mfg. Part No. or Sub Category. (see Find Inventory)
choose the Dept/Category Filter and select the category it might be in, then visually inspect the list for the item.

Add a Substitute Item

Sometimes you simply need to add a workaround item to complete the sale.  There are two mutually exclusive options for assisted entry of new items.  Management should activate one or the other.

Item Not Found - a pop-up will ask for the category to which the item belong sif a scanned barcode does not match products in the Inventory List.  This is a station setting.  Station Detail: Invoice/Misc: Inventory: "Prompt To Display Lookup List or Add New if SKU Not Found"  (see Item Not Found)

 

Fast Add - At the Locate Item screen press ADD.  You will be prompted to enter some bare minimum information about the item being sold,  including price, and add it to the invoice.  Management will then need to review the item later.  (see Fast Add)

Preventing A Clerk From Adding New Inventory

You can restrict a clerk from using Fast Add, Adding Inventory, or other lookups by activating File: System: System Setup: Invoice Setup: "Do Not Display Inventory List If Entry Is Blank Or Not Found"  The intent of this option is to limit the clerk to selling only that which has been defined in the inventory list.  If there are questions about a specific product, then the clerk will need to ask for a manager to help.
